Step 1: Make your desktop files ready 

Note:  
  1. You have 60 days to transfer data from QuickBooks Desktop to QuickBooks Online. 
  2. Make sure your files are not too large to export (if your total targets are more than 750,000, you won't be able to export them. If they are, your only option is to import lists and balances to the Online version)
  • Ensure that your QuickBooks is up-to-date
  • To know if your total targets are less than 750,000, press ctrl+1 on the keyboard.
  • Print out your Sales Tax Liability report as you'll have to make adjustment entries after the transition 
    • In the Reports menu, select Vendors & Payables. Now choose Sales Tax Liability.
    • In the Dates dropdown, choose All.
    • There is a Print option on the top, in that dropdown select Save as PDF.
    • Choose the folder where you want to save the file, name it and click on Save.

Step 2: Transfer the QuickBooks Desktop files to QuickBooks Online.

These are the personalized instructions for the particular versions you use.
QuickBooks Desktop Pro or Premier
  • Sign in as admin to import the company file.
  • In the Company menu, you'll see Export Company File to QuickBooks Online, click on it.
  • Choose the Start your export tab.
  • Sign in as admin in QuickBooks Online company.
  • By selecting Choose Online Company, pick the QuickBooks Online company you need to replace with your company file. Select Continue.
  • In QuickBooks Desktop, if you track inventory: 
    • Choose Yes to transfer them here and now select as of date.
    • Choose No if you want to add new items later in QuickBooks Online.
  • Type Agree in the text box and select Replace.
  • Now select Yes, go ahead and replace the data and now click on Replace.
QuickBooks Desktop Enterprise
Note: If you use advanced features such as advanced reporting or advanced inventory, you won't be able to move some of your data. Intuit recommends you start afresh.
  • Sign in as admin to the desktop company file you want to transfer.
  • Push ctrl+1 on the keyboard to see the Product information. 
  • Push Ctrl + B + Q, then OK to see the export window. Select Get started. 
  • Sign in as admin in QuickBooks Online company.
  • By selecting Choose Online Company, pick the QuickBooks Online company you need to replace with your company file. Select Continue.
  • In QuickBooks Desktop, if you track inventory: 
    • Choose Yes to transfer them here and now select as of date.
    • Choose No if you want to add new items later in QuickBooks Online
  • Type Agree in the text box and select Replace.
  • Now select Yes, go ahead and replace the data and now click on Replace.
Your QuickBooks Online is now ready to use.
